Cash Flow Statement Template

Effectively managing your business’s cash flow is crucial for sustaining operations and fostering growth. A well-prepared cash flow statement offers a clear view of your financial health, enabling informed decision-making.

Why a Cash Flow Statement Matters

A cash flow statement tracks all the money flowing in and out of your business. You can use your cash flow statement to:

  • Identify payment cycles and seasonal trends
  • Forecast your future business finances
  • Help predict shortages and surpluses
  • Plan ahead to ensure you always have money to cover payments

Creating Your Cash Flow Statement

To assist you in setting up your cash flow statement, we offer a comprehensive template. This tool is designed to help you plan your business payments effectively.

Components of the Cash Flow Statement

For each year, you’ll need to fill in actual or estimated figures against each of the below items. If you use estimated costs, you’ll need to label and justify them clearly. You’ll also need to clearly state on your cash flow statement whether your figures are GST inclusive or exclusive.

  • Opening Balance: In the first month, this will be your opening bank balance. In subsequent months, it will be the closing balance from the previous month.

  • Cash Incoming: Money flowing into the business, such as sales, debtor receipts, grants, and tax rebates.

  • Total Incoming: Sum of all cash incoming items.

  • Cash Outgoing: Payments made by your company, including accountant fees, advertising and marketing, purchases, rent and rates, and utilities.

  • Total Outgoing: Sum of all cash outgoing items.

  • Monthly Cash Balance: Calculated by subtracting the total outgoing cash from the total incoming cash.

  • Closing Balance: Determined by adding the opening balance and total incoming, then subtracting total outgoing.

By diligently maintaining and reviewing your cash flow statement, you can anticipate financial challenges and make strategic decisions to ensure your business’s financial stability.

Profit and Lost Template

A Profit and Loss (P&L) statement, also known as an income statement, is a vital financial document that outlines your business’s revenues and expenses over a specific period. It provides insights into your profitability, helping you make informed decisions to enhance financial performance.

Importance of a Profit and Loss Statement

Regularly preparing a P&L statement allows you to:

  • Assess your business’s financial health by comparing income against expenses.
  • Identify trends in revenue and expenditure, facilitating strategic planning.
  • Set realistic sales targets and determine appropriate pricing for your products or services.

Components of a Profit and Loss Statement

To create an effective P&L statement, include the following elements:

  1. Sales (Revenue): Total income generated from selling goods or services.

  2. Cost of Goods Sold (COGS): Direct costs attributable to the production of the goods sold by your business.

  3. Gross Profit: Calculated by subtracting COGS from total sales.

  4. Operating Expenses: Costs incurred during regular business operations, such as:

    • Accounting fees
    • Advertising and marketing
    • Rent and rates
    • Utilities (electricity, gas, water)
    • Insurance
  5. Total Expenses: Sum of all operating expenses.

  6. Net Profit: The remaining income after deducting total expenses from gross profit.
